Froehling & Robertson, Inc., (F&R) is the oldest independent testing/engineering company in the country.  We are a minority-owned business that offers competitive compensation and benefits, and a positive work environment designed around the philosophy of mutual respect for all.  We are seeking a self-starter who will be able to manage the administrative functions of a busy and growing branch in our Chesapeak, VA office. 


  • Set up new projects in the company’s project management system.
  • Coordinate and set up meetings by gathering dates and times that are convenient for internal and external staff and customers.
  • Answer phones and directs client inquiries to the proper staff members.
  • Input timesheets from staff into internal accounting software.
  • Compile invoices in the company’s accounting software.
  • Filing of project related data, correspondence, reports, etc.
  • Input data/reports into company’s web based reporting system
  • Develop formats and type text for general correspondence, forms, tables and graphs, manuals and other lengthy documents using multiple software packages. Determine the appropriate software to use to create charts, tables and presentation materials.  Perform proposal searches, download specs, and assist in the drafting of proposals.
  • Check, proof, and edit work for accuracy of names, figures, sentence structure, punctuation, and spelling.  Perform "final reading" of large documents, i.e., contract documents, O&M manuals, for consistency in terminology and language.  Prompts staff when related documents/sections from "master" template need to be used, included, or revised for completion.
  • Attend staff meetings, take notes and composes minutes of meetings as required. Transcribe dictation which includes statistical, technical, non-technical, and scientific terminology.
  • Completes work for assigned areas and provides assistance or coverage for coworkers as needed.
  • Perform a variety of other office support functions as assigned, demonstrating adaptability with changing priorities.


  • High School Diploma or equivalent required. Specialty education or certification in office management preferred.
  • Must be proficient in general office software and equipment including Outlook, Word, Excel, PowerPoint publisher, Access, Adobe, fax machines, scanners, binding machines and copiers.
  • Must be able to perform accurate data entry using 10-key format.
  • Must be available during branch office hours to respond to client and branch staff requests.
  • Must be pleasant both in person and when answering phone calls.
  • Must be able to multitask successfully.
  • Must be able to maintain Branch filing in a manner to promote quick retrievability.
  • The successful candidate will be able to produce written reports, and other communications in a clear manner.
  • The successful candidate will be able to develop and maintain positive working relationships with Branch staff and clients.
  • The successful candidate will be organized and able to assist the Branch Manager with preparation for Client meetings.
